Tender Announcement for the Procurement of Hotel Services for the Implementation of Training Sessions (AASW-UNHCR-001/25)

The Armenian Association of Social Workers (AASW) NGO invites interested suppliers to participate in the tender for the procurement of hotel services for the implementation of training sessions aimed at strengthening the professional capacities of the social sector workforce in the communities of Hrazdan, Nor Hachn, and Sardarapat (Armavir), as well as empowering and fostering the inclusion of youth in the same communities.

PURPOSE OF THE TENDER

Within the framework of the project “Tailored Social Services and Workforce Development for Armenia’s Displaced and Vulnerable Populations,” implemented by the AASW with the support of the UN High Commissioner for Refugees (UNHCR), the goal is to enhance the resilience and social integration of refugees and forcibly displaced persons in target communities through the establishment of Social Work Centers, provision of psycho-social services, and capacity development of the local social workforce.

Accordingly, AASW announces a tender (Tender Number: AASW-UNHCR-001/25) to select suppliers for the provision of hotel services.

SCOPE OF WORK

The selected supplier must ensure timely and proper provision of the following services to the contracting organization:

Task 1: Outgoing Social Integration Event (to be held in Tsaghkadzor or Aghveran)
Objective: To create a platform for youth from Hrazdan, Nor Hachn, and Sardarapat (Armavir) communities to develop their sense of social and civic responsibility through identifying community issues, initiating joint projects, and fostering cooperation—thus contributing to community integration and youth participation in social life.

The supplier shall ensure at least the following services:

  • Conference hall accommodating up to 30 participants (U-shape arrangement);
  • Separate spaces for group work accommodating up to 10 participants;
  • Coffee breaks, lunch, and dinner (two coffee breaks, one lunch, and one dinner per day);
  • Overnight accommodation for participants.

Dates: July 29 – August 1 and August 19–22, 2025.

 

Task 2: Outgoing Training Session (to be held in Tsaghkadzor or Aghveran)
Objective: To discuss and develop the community social plan of Masis Municipality with the participation of representatives from various local agencies.

The supplier shall ensure at least the following:

  • Conference hall accommodating up to 30 participants (U-shape arrangement);
  • Coffee breaks, lunch, and dinner (total of 4 coffee breaks, 2 lunches, and 1 dinner);
  • Overnight accommodation for participants (one night/two days).

Dates: June 17–18, 2025.

Task 3: Outgoing Training Session (to be held in Tsaghkadzor or Aghveran)
Objective: To strengthen the professional capacities of the social sector workforce of Hrazdan, Nor Hachn, and Sardarapat (Armavir) communities.

The supplier shall ensure at least the following:

  • Conference hall accommodating up to 30 participants (U-shape arrangement);
  • Coffee breaks, lunch, and dinner (total of 6 coffee breaks, 3 lunches, and 2 dinners);
  • Overnight accommodation for participants (two nights/three days).

Dates: July 24–26, 2025.

Note: Payment to the supplier for the services rendered may include an advance payment option.

REQUIREMENTS FOR SUPPLIERS

  • The supplier must have prior experience in organizing similar events.
  • All legally authorized companies, regardless of registration location, may participate in the tender.
  • Companies meeting the above requirements must submit their application-proposal to aaswprocurement@gmail.com no later than June 10, 2025, 18:00 (Yerevan time).

The application must include the following documents:

  1. Price offer – properly prepared, sealed, and signed by the organization.
    • The price offer must clearly and comprehensively reflect all requirements specified in the technical task of the tender.
    • The offer should indicate the required services, quantities, unit and total prices (including and excluding VAT), delivery timelines, and any other conditions that may affect evaluation.
  2. Information about the organization – sealed and signed, following Annex 1 format.
    • This document should include details on the organization’s legal status, state registration, tax identification number, bank details, and information confirming the organization’s experience, capacity, and competence to deliver the required services.
