Purpose of the Tender

The purpose of this tender is to select a service provider that will ensure the proper and timely provision of hotel and conference hall services required for the organization’s working meetings.

Technical Requirements

The service provider must ensure:

• hotel services for event participants,

• accommodation (overnight stay) for participants in the hotel,

• availability of a conference hall for up to 100 participants with cabaret seating arrangement (26–27 November) and up to 75 participants with U-shape seating arrangement (1 December),

• technical equipment required for the event, including:

  • projector and screen,

  • at least 2 speakers and a sound system,

  • flipchart, whiteboard, markers,

  • notebooks and pens,

• catering services for participants, including coffee breaks and lunch.

Application Requirements

The application must include the following documents:

1. Financial Proposal

A properly prepared, signed, and stamped price proposal by the organization.

Attention:
The financial proposal must clearly and in detail reflect all requirements specified in the technical terms of reference of the tender, as provided in Annex 1 (Annex 1.docx).

The proposal must include:

• the required services,

• quantities,

• unit prices,

• total prices,

• prices with and without VAT,

• service delivery timelines,

• and any other conditions that may affect the evaluation.

2. Company Information

Information about the organization, signed and stamped, according to Annex 2.

Annex 2 – Company Information (Annex 2. Organization Information – Event.docx)

This document must include:

• the legal status of the organization,

• state registration details,

• taxpayer identification number,

• bank details,

• information confirming the organization’s experience, capacity, and eligibility to provide the requested services/supplies.

The supplier must have experience in organizing similar events.

Eligibility

All eligible companies may participate in the tender regardless of their place of registration.
